How to Send Direct Mail to Your QuickBooks Customers

Your customers are already in QuickBooks, along with what they bought and when, so reaching them with a postcard or a letter shouldn’t mean exporting a list and rebuilding it somewhere else. Direct Mail Manager connects to QuickBooks and turns that customer list into direct mail, the follow-up and upsell postcards and letters you send to keep customers coming back. It’s for marketing to the people in your books rather than mailing the invoices themselves, and there are two ways to run it, depending on whether you send on your own schedule or off something that happens in QuickBooks.

Bring your QuickBooks customers in

QuickBooks customers flowing into Direct Mail Manager as mailing recipientsThe native integration connects your QuickBooks account and brings your clients, or your employees, across as recipients you can mail to. Instead of exporting a CSV, you point Direct Mail Manager at QuickBooks and the records are there when you build a mailing. From there you send postcards and letters to those customers: a follow-up after a job, an upsell to the ones who bought a single service, a win-back to the ones who’ve gone quiet.

Send mail automatically

A new customer in QuickBooks triggering a postcard through Zapier and Direct Mail ManagerTo send off an event in QuickBooks rather than on your own timing, the two connect through Zapier. Zapier watches QuickBooks and hands the customer record to Direct Mail Manager, which has two actions: Send Letter and Send Postcard. So when a new customer is added in QuickBooks, a welcome postcard can go out on its own, with no list and no manual step. You map the customer’s fields to the mailpiece once, personalize it with merge variables, and the send repeats from then on.

Which approach fits

If you send in batches on your own timing, the native integration is the one: your QuickBooks customers sit in Direct Mail Manager, and you mail them when the campaign is ready. If the mail should go out the moment something changes in QuickBooks, that’s the Zapier trigger. Plenty of accounts run both, a native import for the planned campaigns and a trigger for the mail that should send itself.

Getting started

Connect your QuickBooks account and your customers are ready to mail to, with the option to let a trigger send for you. The setup runs through your Direct Mail Manager account, and the developer details for the Send Letter and Send Postcard actions are in the API documentation.
